Weighbridge software: managing weighings and data

A weighbridge produces a weight value. In an industrial, agricultural, logistics or commercial facility, however, that number becomes valuable when it is correctly associated with the truck, the material being handled and the operation the company is carrying out.

I Bilanciai Weighbridge software manages this step. It supports single and double weighings, stores operations, manages customer, material and vehicle master data, monitors scale status, produces tickets and reports, performs totalisations and exports data.

When trucks, articulated lorries and articulated vehicles regularly use the weighbridge and every movement has to be linked to a delivery, loading operation, unloading operation or customer, the issue is no longer simply measuring weight correctly: the information generated by the weighing process has to be organised.

From weight reading to management

A truck weighing 38,420 kg produces a precise value, but on its own that number tells the company very little.

To become useful information, it must be possible to know which vehicle it belongs to, which material is being transported, which customer or supplier is involved and whether the reading represents an entry, an exit or a standalone weighing.

When the vehicle returns to the weighbridge after loading or unloading, the second reading must be linked to the first in order to calculate the net weight.

The software structures this workflow without changing the principle by which the weighbridge measures the vehicle.

Single weighing

A single weighing records the vehicle's weight in one pass according to the defined procedure.

It is useful when a quantity does not need to be determined by comparing two weighings and it is sufficient to store a single reading together with the information that identifies it.

By associating the weight with a vehicle, customer and material, the operation can subsequently be retrieved and included in the relevant reports and processing.

Double weighing

Double weighing is one of the most characteristic operations performed with weighbridges.

The truck is weighed at two different points in time: it may enter loaded and leave empty, or arrive empty, be loaded and return to the weighbridge before leaving the site.

Weighbridge links the two readings and makes it possible to determine the difference, organising the gross, tare and net process.

When many vehicles pass through within the same period, structured management reduces the risk of linking the wrong data or having to reconstruct operations afterwards.

Gross, tare and net

Gross weight is the total measured weight of the vehicle in its loaded condition; tare is the weight of the vehicle without the load to be determined; net weight is the difference between the two values.

The chronological order of the weighings depends on the process. A truck delivering material may be weighed loaded first and empty afterwards; a vehicle being loaded at the facility normally follows the opposite sequence.

The software places the values in the context of the correct operation and retains the associated information.

Vehicle master data

Weighbridge manages vehicle data, allowing weighings to be linked to registered vehicles.

This is useful in facilities with company fleets, regular hauliers or trucks that frequently carry out the same operations.

Vehicle master data also avoids the same vehicle being entered in different ways in different records.

Customers and materials

A truck normally has a party connected with the movement behind it. Weighbridge manages customer master data and allows weighings to be associated with the relevant information.

It also manages material master data, making it possible to move from the question 'how much did the truck weigh?' to 'how much of this material did we receive or dispatch?'.

It is the association between vehicle, party and material that turns a truck scale into a source of data that remains useful beyond the moment of measurement.

Totalisations

A single ticket describes one operation; the company may need to look at a set of weighings.

Totalisation functions make it possible to consider several readings together, for example when multiple trucks move the same material during a given period.

The benefit increases with the number of operations because it reduces the need for manual totals and retrospective reconstruction.

Tickets and reports

Weighbridge manages tickets and reports as part of the weighing process.

The ticket is generated from information already associated with the weighing, reducing the gap between what happens on the platform and what is recorded.

Reports, on the other hand, allow operations to be viewed in aggregated form, making the archive useful to people who need to analyse completed work as well as those managing the truck currently on the weighbridge.

Data export

Weighbridge supports export of weighing data.

It is important to distinguish this function from true automatic integration with other systems. The ability to export data does not automatically mean there is a native connection to every ERP, SAP system, API or cloud platform.

If the company requires a specific integration, it should describe which data must be transferred, to which system and by what method, so that feasibility can be assessed within the project.

Scale status

Weighbridge functions also include display of scale status.

The software therefore participates in management of the operation while it is being carried out and is not merely an archive consulted after weighing.

Software and the weight indicator perform different functions

The weight indicator displays the value measured by the weighing system; the software uses that value within the management process.

They are not alternatives. A company carrying out only a few control weighings may have simple requirements, while a facility with many customers, suppliers and materials may need much more structured management.

Software becomes particularly useful when it avoids having to reconstruct information manually after weighing.

Example: a truck arriving to unload

The vehicle is associated with the required information, the first weighing is acquired and it then proceeds to the unloading area.

When it returns to the weighbridge, the second reading is linked to the previous one and the net weight can be determined. The operation remains stored and can generate tickets, appear in reports and contribute to totalisations.

The physical weighing takes only a few minutes, but the data remains usable after the truck has left the facility.

Example: a truck being loaded

The vehicle enters empty, is weighed, proceeds to the loading point and returns to the weighbridge.

The difference between the two readings determines the quantity loaded. When several trucks are managed at the same time, structured association of the weighings avoids having to reconstruct pairs of values manually.

Software for a made-to-measure truck weighbridge

All I Bilanciai weighbridges are made to measure according to the vehicles, capacity, yard and process.

The same principle should guide software configuration. During the project, it is useful to establish who will use the weighbridge, which information must be entered, whether single or double weighings will be used, which documents are required and how the data will be consulted.

Software and self-service

Weighbridge and self-service terminals address different aspects of the process.

Weighbridge manages weighings and data. Self-service stations allow users to carry out certain operations independently through POS, a coin/token unit or RFID badges.

A company can use Weighbridge and continue to work with an operator; a public weighbridge may instead require self-service. Where the two requirements coexist, the procedure must be designed for the specific configuration.

ERP, SAP, APIs, cloud and multi-site

The functions directly attributable to Weighbridge are weighing management, master data, tickets, reports, totalisations, scale status and data export.

An automatic connection to SAP, company ERP systems, APIs, cloud systems or multi-site architectures should not be assumed. If any of these functions is required, it must be stated and verified within the project.

This avoids using the word 'integration' as though it meant automatic compatibility with any system already present in the company.

If the weighbridge already exists

A company may already have a weighbridge installed and later decide to improve data management.

In this case, the weighbridge, weight indicator, electronic configuration and current process need to be known. It is not correct to assume that any existing installation can be connected directly to the software without verification.

Describing how weighings are currently performed helps identify which functions will provide a real benefit.

Weight data becomes useful when it remains usable after the truck has left

The weighbridge performs its task when it measures the vehicle weight. The company, however, still needs that data to retrieve operations, check tickets, total quantities and produce reports.

Weighbridge maintains this continuity between physical weighing and information management. When the weighbridge is regularly used by trucks, articulated lorries and articulated vehicles, designing this part of the installation well can be as important as correctly choosing platform dimensions and capacity.

QUICK ANSWERS

Frequently asked questions

It is used to manage weighings and the associated information. I Bilanciai Weighbridge supports single and double weighings, master data, tickets, reports, totalisations, scale status and data export.

The indicator displays the weight; the software uses that value within the process, associates it with the weighing information and stores it.

The articulated lorry is weighed twice, normally before and after loading or unloading. Weighbridge links the readings and makes it possible to determine the net weight.

Yes. Weighbridge manages these master data records.

Yes. Weighbridge supports export of weighing data.

This should not be considered an automatic function. Integration with SAP or other ERP systems must be specified and verified for the particular project.

This is not a function that should be assumed. Any API requirement must be verified explicitly.

Cloud management should not automatically be attributed to the solution. If the company requires it, this must be stated during the project.

Multi-site management should not be assumed. It must be described and verified separately.

Yes. The software manages the weighing process; the weighbridge itself must of course be correctly sized for the vehicle.

It depends on the information that has to be managed. Even a small number of weighings may need to be associated with customers, materials, vehicles and documents.

Compatibility must be checked by considering the weighbridge, weight indicator, electronics and required functions.
